Funding/Travel
All requests for any kind of funding must be submitted before the event takes place and before any cost-related documents are issued.
Procedure for Reserving Funds for Any Type of Expenditure
To request funding, you must submit an appropriate purchase form, using one of the following options:
Travel Purchase Form – applicable to all types of travel, including domestic and international trips, conferences, archival research, fieldwork, summer schools, research visits, off-site seminars, research stays, sessions, conventions, internships, domestic segments of international travel, mileage reimbursement, etc.
General Purchase Form – applicable to book purchases, civil law contracts, service invoices, fees for online conferences, access fees, course fees, and other related expenses.
Before submitting a request, applicants are required to familiarize themselves with the travel procedures in force at the Doctoral School. The same procedure applies when submitting requests for other types of funding.

Invoicing rules for conference, training, and translation costs
- Invoices covering costs related to conferences, training sessions, and translation services etc. must be issued to Nicolaus Copernicus University in Toruń (UMK).
- The invoice should include the following details:

Exception:
Invoices for accommodation (hotel stays) and independently purchased travel tickets must be issued in the name of the PhD student (private personal data).
Invoices for accommodation and travel tickets
- Invoices for accommodation and accounting documents for tickets purchased independently (related to official business travel) should be issued directly to the PhD student, not to the University.
- For travel with PKP Intercity or other Polish rail services, tickets alone are sufficient as proof of expense – there is no need to request an invoice, provided that the ticket includes the PhD student’s personal data
Electronic invoices (important in Poland)
- In Poland, most invoices are now issued in electronic form.
- To ensure that an electronic invoice is properly delivered to the Secretariat of the Doctoral School of Social Sciences, the issuing institution must include the following identification number on the invoice (in the “Notes”, “Description”, or equivalent field): 00787590-SSD
- This identification number should be included only for invoices issued electronically via the KSeF system (National e-Invoicing System).
Paper invoices and foreign invoices
- If the invoice is issued in paper form, it should be delivered to the Secretariat in the usual way.
- Invoices issued abroad should be submitted in paper form
International Travel
The procedure for international travel is described on the website:

International travel is settled by the Mobility Settlement Section; however, the generated international travel application must also be signed by the Director of the Doctoral School.
